Executive Assistant
Even though we are not next to you we can effectively help you with tasks and scheduling that affect your normal day, from supporting you in your role or more general back office related.
We all find the first hour and even more of ones working day can be sorting through emails most of which just aren’t worth our time so why not start your working day with a clean and prioritised inbox? Even adding up a single hour a day is more than 20 hours a month you can cut out just managing junk mail and prioritising the rest. Your assistant will summarise your inbox and put the emails you need to read into your important email inbox.
How often do you find a group that need to meet can’t set up a single day and time that everyone can agree to without multiple mails back and forth just to schedule one meeting/appointment? Your assistant will find a day and time that suits everyone involved, as well as manage the sending of agendas, calendar invites and probably organise tea, biscuits and even lunch.

Your assistant will find and organise your desired travel and accommodation itinerary from pricing and options to actually finalising transactions if you authorise it but more than that you would receive a “Travel pack” with the step by step travel and accommodation itinerary down to a brief overview of the faces you are meeting with.

Sales and Marketing have a lot of what we can call every day low-value tasks, although they need to be done, they are simple and repetitive. Your time could be better spent! Email campaigns or edms are standard and important client contact mediums that are often scheduled to be sent monthly but just take valuable time! Every small business needs a handbook from the minute they have even one employee. It should include policies that cover topics like annual leave and sick time, leave of absence, performance management, behavioural issues and more. The policies and procedures provide consistency, so the employer does not have to make it up as the go, ensuring all employees are treated equally and fairly

We operate a 100% open book policy and so if we create shared storage areas to allow your support team member to work we will include you in all shared folder structure.

We have standards and processes in place where your data is always kept segregated from others and if required can be handed back still in the structure you are used to.
Our administrators are selected and matched to your business requirements based on experience and skill-set as we want things to be right.
Not ready for a dedicated Admin team member yet but you have admin tasks you need to get done on a project basis?
Time is always something we just don’t have enough of, even if we have admin staff in place they are working at capacity but there seems to always be jobs that we need doing…
Your first point of call should be your assistant as they can discuss any service concerns you have, each assistant logs and reports any and all client concerns to our assistant team leader so if any escalation is required beyond your assistant, our assistant team leads will understand the basis of your concern and can help address it. Obviously in the unlikely occurrence that your concern is with the assistant you will have an account manager who can be contacted directly.
This isn’t an issue at all because of our pricing structure you will effectively be working your notice all the time but we will require written notice or termination to establish the internal closing down of your contract as well as preparing of all your documentation for you to remove from our servers. This process takes up to two weeks and therefore as long as we receive your written notice before the 15th of the month there will be no further payments required; however, should it be after the 15th we will need to take one more payment to facilitate the closure.
We have well established and enforce security processes that keep your data secure, within our storage we use 256-bit encryption and restricted access to only authorised personal. If we hold extra sensitive data i.e. credit card information to process payments such as flights or other travel requirements, this information is held only by your assistant within a private “volt” folder. If you are not comfortable can communicate all the information ready for payment directly by you without all the prep and organising.
Within the Discovery Period you will come into contact with the management team that you will always have access to. For work itself you will be assigned a dedicated assistant who will ensure your account and task requirements run smoothly being your main contact and who actually will do your day to day work; however if you have requirements outside their skill set (i.e. accounting) then they will manage this work on your behalf within our team, so you don’t have to worry about anything.
